Online Tutoring

Due to public health concerns, Georgia Tech is unable to offer in-person tutoring at this time.  We are offering students the choice to get tutoring via video conference, but must convey that this method does make ensuring FERPA privacy difficult.  Tutors will conduct video tutoring in a private location, and recommend that students do the same to limit the amount of information which could be overheard by others in the vicinity.  By agreeing to video conference-tutoring, students are confirming they understand this situation.

Online Tutoring Instructions for Students

Online tutoring sessions are designed to be student led and it is important that you are prepared to actively solve problems and articulate your own thought process.

Please follow the steps below for scheduling and joining Online 1-to-1 Tutoring Appointments

  1. Schedule a 1-to-1 Tutoring AppointmentYou should receive a confirmation email with instructions shortly after scheduling an appointment.
  2. Before the session begins, please download the BlueJeans app on your computer and mobile device (preferred).
    (https://gatech.bluejeans.com or search BlueJeans on the app store or google play)
  3. Gather material that you would like to work on during the session. You will be able to screen share with the tutor, so feel free to pull up any lecture notes, powerpoints, textbooks, etc. that you think will be useful on your computer.
  4. Bring paper and a writing utensil. You can use your phone as a document camera to show your work.
  5. To join the meeting, log on to TutorTrac (https://academicsupport.gatech.edu) and click the "Enter ONLINE Appointment" link.
    note: This link will only appear within 15 minutes of the scheduled start time. The tutor may be conducting sessions back-to-back, so please respect other students' appointments and wait until your session is scheduled to begin before clicking the link.
  6. If you are also able to join using your phone, please do so. Mute the computer microphone and make sure your computer speaker is also muted. You will be using your phone for audio.
  7. Join the same BlueJeans meeting on your phone (either click "Join Meeting" button in the email invitation or join using the 9-digit meeting ID) Either way, select the "App Audio & Video" option. Make sure you join with "Microphone On" and "Video On" selected.

Online PLUS Instructions for Students

Due to public health concerns, Georgia Tech is unable to offer in-person PLUS sessions at this time. PLUS Leaders will be developing and distributing study guides and facilitate weekly two-hour study sessions using the BlueJeans Video Conferencing Platform.

Thank you for continuing to participate in PLUS during this period of online classes. We know that the online PLUS session experience won't be the same as in-person sessions, but we look forward to continuing to support you in this way. Please be patient with your PLUS Leaders as they navigate this change.

Instructions for Tutors

Before conducting any online tutoring sessions, you should download the BlueJeans app on your computer and smartphone and test connection.

Scheduling Online Appointments

Students are able to join your static BlueJeans meeting within 15 minutes of their scheduled appointments. Be sure to get BlueJeans up and going so that you can get started right at the scheduled start time. Note: If a student joins early while you are in another appointment, please ask them to wait until their appointment starts before joining.

Conducting Online Appointments

Tutors should join their meetings at least 5 minutes early to ensure that everything is working properly.

  1. Before your session begins, don't forget to Punch In (and it helps to set a reminder on your phone to Punch Out after the session ends!).
  2. Join the meeting on your computer and mute the microphone and make sure your computer speaker is also muted. You should receive an email to join the tutoring session prior to the scheduled meeting time.
  3. Join the same BlueJeans meeting on your phone (either click "Join Meeting" button in the email invitation or join using the 9-digit meeting ID) Either way, select the "App Audio & Video" option. Make sure you join with "Microphone On" and "Video On" selected.
  4. The computer is great to use as a webcam or to share the screen and show any materials that could help the student (textbooks, slides, websites, etc.), but most of what you will be using is your smartphone to show what you are working on. You can set it up as a document camera (see image below).

Some hints on tutoring using BlueJeans

  • If you are streaming video of yourself, avoid a busy background (e.g. moving ceiling fans) to save on video bandwidth.
  • Speak slowly and clearly. PC microphones are very sensitive and pick up background noise, so headphones are preferred.

Instructions for PLUS Leaders

Before conducting any online PLUS sessions, PLUS Leaders should download the BlueJeans app on their computer and smartphone and test connection.

Scheduling online PLUS Sessions

  1. Login to https://gatech.bluejeans.com and click “Schedule Meeting” 
  2. Name the meeting “Leader Name- Course/Instructor PLUS Session” 
    (e.g. “George Burdell- MATH 2552/Lubinsky PLUS Session”)
  3. Enter the appropriate meeting day/time 
  4. Check “Repeat Meeting” 
    1. Select “Weekly”
    2. Repeat every 1 week and select day of session
    3. Ends on 17 Apr 2020 
  5. Under "Advanced Options", check the box "Start meeting without Moderator".
  6. Click “View Join Info” and copy and send “Meeting URL” to students in course (and any other PLUS Leaders that will be joining you)

Weekly Reminders

  • “Attend” lectures weekly for the assigned course & communicate with instructor weekly
  • Create weekly study guides that align with lectures 
  • Send weekly session reminder email (BCC: the students) that includes
    1. Date & time of next session
    2. Link to join next session via BlueJeans 
    3. Leader created study guide with solutions attached

Conducting Online PLUS Sessions

Remember that the PLUS Leader's primary role is a facilitator of the study session. You should attempt to redirect questions whenever possible and encourage students to articulate their thought processes and explain their work to one another. The PLUS Leader should be solving the problems, but providing an opportunity for students to work collaboratively to find solutions.
